TERMS AND CONDITIONS
OF CARRIAGE
(”Terms and Conditions”)
”Shipment” means all documents or parcels that travel under one waybill and which may be carried by any
means DHL chooses, including air, road or any other carrier. A ”waybill” shall include any label produced by
DHL automated systems, air waybill, or consignment note and shall incorporate these Terms and Conditions.
Every Shipment is transported on a limited liability basis as provided herein. If Shipper requires greater
protection, then insurance may be arranged at an additional cost. (Please see below for further information).
”DHL means any member of the DHL Express Network.
IMPORTANT NOTICE
When ordering DHLs services you, as ”Shipper”, are agreeing, on your behalf and on behalf of anyone else with
an interest in the Shipment, that the Terms and Conditions shall apply from the time that DHL accepts the
Shipment unless otherwise agreed in writing by an authorised officer of DHL. Your statutory rights and
entitlements under any defined service feature (for which additional payment has been made) are not affected.
2. Unacceptable Shipments
Shipper agrees that its Shipment is acceptable for transportation and is
deemed unacceptable if:
it is classified as hazardous material, dangerous goods, prohibited or
restricted articles by IATA (International Air Transport Association),
ICAO (International Civil Aviation Organisation), any applicable
government department or other relevant organisation;
no customs declaration is made when required by applicable
customs regulations; or
DHL decides it cannot transport an item safely or legally (such items

are delivered to the Receivers address given by Shipper (which in the
case of mail services shall be deemed to be the first receiving postal
service) but not necessarily to the named Receiver personally.
Shipments to addresses with a central receiving area will be delivered
to that area. If Receiver refuses delivery or to pay for delivery, or the
Shipment is deemed to be unacceptable, or it has been undervalued for
customs purposes, or Receiver cannot be reasonably identified or
located, DHL shall use reasonable efforts to return the Shipment to
Shipper at Shippers cost, failing which the Shipment may be released,
disposed of or sold by DHL without incurring any liability whatsoever to
Shipper or anyone else, with the proceeds applied against service
charges and related administrative costs and the balance of the
proceeds of a sale to be returned to Shipper.
4. Inspection

to Shipper.
5. Shipment Charges & Billing
DHLs Shipment charges are calculated according to the higher of actual
or volumetric weight and any Shipment may be re-weighed and
re-measured by DHL to confirm this calculation. Shipper shall pay or
reimburse DHL for all Shipment charges, storage charges, duties and
taxes owed for services provided by DHL or incurred by DHL on
Shippers or Receivers or any third party’s behalf and all claims,
damages, fines and expenses incurred if the Shipment is deemed
unacceptable for transport as described in Section 2.
6. DHLs Liability
DHL contracts with Shipper on the basis that DHLs liability is strictly
limited to direct loss only and to the per kilo/lb limits in this Section 6.
All other types of loss or damage are excluded (including but not limited
to lost profits, income, interest, future business), whether such loss or
damage is special or indirect, and even if the risk of such loss or damage
was brought to DHLs attention before or after acceptance of the
Shipment since special risks can be insured by Shipper. If a Shipment
combines carriage by air, road or other mode of transport, it shall be
presumed that any loss or damage occurred during the air period of
such carriage unless proven otherwise. DHLs liability in respect of any
one Shipment transported, without prejudice to Sections 7-11, is limited
to its actual cash value and shall not exceed the greater of $US 100 or:
$US 20.00/kilogram or $US 9.07/lb for Shipments transported by air
or other non-road mode of transportation; or
$US 10.00/kilogram or $US 4.54/lb for Shipments transported by road
(not applicable to the US).
Claims are limited to one claim per Shipment settlement of which will be
full and final settlement for all loss or damage in connection therewith.
If Shipper regards these limits as insufficient it must make a special
declaration of value and request insurance as described in Clause 8
(Shipment Insurance) or make its own insurance arrangements, failing
which Shipper assumes all risks of loss or damage.
7. Time Limits for Claims
All claims must be submitted in writing to DHL within thirty (30) days
from the date that DHL accepted the Shipment, failing which DHL shall
have no liability whatsoever.
8. Shipment Insurance*
DHL can arrange insurance for Shipper covering the actual cash value in
respect of loss of or physical damage to the Shipment, provided the
Shipper completes the insurance section on the front of the waybill or
requests it via DHLs automated systems and pays the applicable
premium. Shipment insurance does not cover indirect loss or damage,
or loss or damage caused by delays.
*Not available for mail services
9. Delayed Shipments
DHL will make every reasonable effort to deliver the Shipment accor-
ding to DHLs regular delivery schedules, but these are not guaranteed
and do not form part of the contract. DHL is not liable for any damages
or loss caused by delays.
10. Circumstances beyond DHLs control
DHL is not liable for any loss or damage arising out of circumstances
beyond DHLs control. These include but are not limited to: -”Act of God”-
e.g. earthquake, cyclone, storm, flood, fog; ”Force Majeure” - e.g. war,
plane crash or embargo; any defect or characteristic related to the nature
of the Shipment, even if known to DHL; riot or civil commotion; any act
or omission by a person not employed or contracted by DHL e.g.
Shipper, Receiver, third party, customs or other government official;
industrial action; and electrical or magnetic damage to, or erasure of,
electronic or photographic images, data or recordings.
11. Warsaw Convention
If the Shipment is transported by air and involves an ultimate
destination or stop in a country other than the country of departure, the
Warsaw Convention, if applicable, governs and in most cases limits
DHLs liability for loss or damage.
12. Shipper’s Warranties and Indemnity

arising out of Shippers failure to comply with any applicable laws or
regulations and for Shippers breach of the following warranties and
representations:

ensure safe transportation with ordinary care in handling;

have been complied with; and

and the Terms and Conditions constitute binding and enforceable
obligations of Shipper.
13. Routing
Shipper agrees to all routing and diversion, including the possibility that
the Shipment may be carried via intermediate stopping places.
14. Governing Law
Any dispute arising under or in any way connected with these Terms and
Conditions shall be subject, for the benefit of DHL, to the non-exclusive
jurisdiction of the courts of, and governed by the law of, the country of
origin of the Shipment and Shipper irrevocably submits to such
jurisdiction, unless contrary to applicable law.
15. Severability
The invalidity or unenforceability of any provision shall not affect any
other part of these Terms and Conditions.
1. Customs, Exports and Imports
DHL may perform any of the following
activities on Shippers behalf in order to
provide its services to Shipper: (1)
complete any documents, amend product
or service codes, and pay any duties or
taxes required under applicable laws and
regulations, (2) act as Shippers forwarding
agent for customs and export control
purposes and as Receiver solely for the
purpose of designating a customs broker
to perform customs clearance and entry

This non-negotiable document must be completed accurately to ensure smooth processing and delivery of the shipment.

How do I fill out the DHL Waybill form?

Then, complete the recipient's information, ensuring the address is correct and not a PO Box. Specify the shipment details, including the total number of packages, weight, dimensions, and a full description of the contents. If the shipment requires customs documentation, include the necessary invoices and codes. Finally, sign the form to agree to DHL's terms and conditions.

What payment options are available on the DHL Waybill form?

The DHL Waybill form allows for several payment options, including cash, cheque, credit card, and charging the shipment to a shipper, receiver, or third-party account. However, not all payment options are available in every country, so it is essential to check the specific options applicable to your location.

What should I do if my shipment contains non-document items?

If your shipment contains non-document items, you must attach the original and four copies of a proforma or commercial invoice. Additionally, provide any required VAT/GST numbers, declared value for customs, and the harmonized commodity code if applicable. This information is essential for customs clearance and will help avoid delays in delivery.

Can I track my shipment using the DHL Waybill?

Yes, you can track your shipment using the DHL Waybill. Simply visit the DHL website and enter the tracking number provided on the Waybill form. This will allow you to monitor the shipment's progress and receive updates on its delivery status.

What happens if there is a delay with my shipment?

DHL strives to deliver shipments according to their regular schedules, but delays can occur due to various factors. If your shipment is delayed, DHL will make reasonable efforts to resolve the issue, but they are not liable for any damages or losses caused by such delays. It is advisable to file any claims within thirty days of the shipment's acceptance if you experience significant issues.

Common mistakes

Filling out the DHL Waybill form can be straightforward, but many people make common mistakes that can lead to delays or issues with their shipment. Here are ten mistakes to avoid.

One frequent error is not including the required postcode or zip code. This information is crucial for ensuring that the shipment reaches its destination without unnecessary delays. Always double-check that this field is filled out accurately.

Another common mistake is failing to provide complete contact information. It's essential to include a phone number, fax, or email for both the shipper and the receiver. Incomplete contact details can hinder communication and complicate the delivery process.

People often forget to specify the insured value of the shipment. If you want insurance, you must indicate the value in local currency. Leaving this blank could mean you miss out on coverage for your items.

Incorrectly listing the dimensions and weight of the packages is another common issue. Ensure that you measure accurately and input the correct values. Miscalculations can result in additional charges or even rejection of the shipment.

Many individuals neglect to provide a detailed description of the contents. This section is vital for customs clearance and helps avoid delays. Be specific about what you are shipping and the quantity.

Another mistake is not selecting the appropriate service type. The form includes various options like domestic, international, and express services. Choosing the wrong service can lead to unexpected delivery times and costs.

Some people mistakenly think they can ship to a PO Box. DHL does not deliver to PO Boxes, so ensure you provide a complete street address for the receiver.

Not signing the Shipper’s agreement is a critical error. This signature confirms that you agree to DHL's terms and conditions. Without it, your shipment may not be processed.

Lastly, many individuals overlook the importance of checking for additional charges for optional services. If you select services like Saturday delivery or special pick-up, be aware that these may incur extra fees.

Avoiding these mistakes can significantly enhance your shipping experience with DHL. Always review your form thoroughly before submission to ensure all information is accurate and complete.

Documents used along the form

The DHL Waybill form is essential for shipping with DHL, but it often accompanies other important documents. Each of these documents serves a specific purpose in the shipping process, ensuring compliance with regulations and facilitating smooth transportation.

  • Commercial Invoice: This document details the transaction between the seller and buyer. It includes information such as the description of goods, quantity, price, and terms of sale. Customs authorities often require this invoice to assess duties and taxes.
  • Proforma Invoice: Similar to a commercial invoice, this document provides an estimated cost for the goods before they are shipped. It is often used for customs clearance and can help buyers understand potential expenses associated with the shipment.
  • Customs Declaration: This form is crucial for international shipments. It informs customs authorities about the contents of the shipment, including its value and purpose. Accurate declarations help prevent delays at customs and ensure compliance with regulations.
  • Export License: Depending on the nature of the goods, an export license may be required. This document grants permission from the government to export specific items, especially those that may be subject to export controls or restrictions.

Understanding these accompanying documents can streamline the shipping process and minimize potential issues. Proper documentation is key to ensuring that shipments arrive at their destination without unnecessary delays.

Similar forms

  • Air Waybill: Similar to the DHL Waybill, the Air Waybill serves as a contract between the shipper and the carrier. It details the shipment's route and provides tracking information. Both documents are non-negotiable and serve as proof of shipment.
  • Commercial Invoice: This document outlines the transaction between the buyer and seller. Like the DHL Waybill, it includes details about the shipment contents, value, and shipping terms, which are essential for customs clearance.
  • Proforma Invoice: Used primarily for customs purposes, the Proforma Invoice provides a preliminary bill of sale. Similar to the DHL Waybill, it includes shipment details and is crucial for international shipping documentation.
  • Bill of Lading: This legal document is issued by a carrier to acknowledge receipt of cargo for shipment. Like the DHL Waybill, it serves as a contract and receipt, detailing the shipment's specifics and terms of transport.
  • Customs Declaration: This form is required for international shipments and provides customs authorities with information about the contents and value of the shipment. It parallels the DHL Waybill in that both documents ensure compliance with shipping regulations.

Dos and Don'ts

When filling out the DHL Waybill form, attention to detail is crucial. Here are nine important dos and don’ts to keep in mind:

  • Do ensure all information is accurate and complete.
  • Do include the correct payer account number for billing purposes.
  • Do specify the shipment's insured value clearly.
  • Do provide a full description of the contents, including quantity.
  • Do include the correct postal code for both the sender and receiver.
  • Don't leave any required fields blank, as this may delay processing.
  • Don't use a PO Box as a delivery address, as DHL cannot deliver to them.
  • Don't forget to sign the agreement section of the Waybill.
  • Don't list prohibited items, such as hazardous materials or cash.

By following these guidelines, you can help ensure a smooth shipping experience with DHL.

Misconceptions

  • Misconception 1: The DHL Waybill form is negotiable.
  • Many individuals mistakenly believe that the DHL Waybill form is negotiable. In reality, it is a non-negotiable document. This means that the ownership of the shipment cannot be transferred to another party through the waybill itself. The document serves primarily as a receipt and a contract for carriage.

  • Misconception 2: All payment options are available in every country.
  • Some people assume that all payment methods, such as credit cards or cash, are universally accepted for DHL services. However, this is not the case. Availability of payment options can vary significantly by country. It is important to check the specific payment methods accepted in the destination country.

  • Misconception 3: DHL can deliver to any address, including PO Boxes.
  • Another common misunderstanding is that DHL can deliver to PO Boxes. This is incorrect. DHL requires a physical address for delivery. Shipments cannot be sent to PO Boxes or postal codes, as deliveries must be made to a specified location.

  • Misconception 4: Shipment insurance covers all types of loss or damage.
  • Many people believe that purchasing shipment insurance through DHL will cover any potential loss or damage. While insurance can provide valuable protection, it does not cover indirect losses or damages resulting from delays. Understanding the limitations of coverage is essential for proper risk management.

  • Misconception 5: DHL is liable for all delays in shipment delivery.
  • Lastly, some individuals think that DHL is responsible for any delays that occur during shipment. However, DHL's liability for delays is limited. The company makes every effort to adhere to delivery schedules, but these timelines are not guaranteed. Factors beyond DHL's control can affect delivery times, and customers should be aware of this limitation.

Key takeaways

  • Ensure you accurately fill in the payer account number and insurance details. This information is crucial for billing and coverage purposes.
